Ralph Lauren Corporation and its affiliates (collectively, “Ralph Lauren”) respect your concerns about privacy. This Privacy Notice applies to personal information we collect at the Polo Ralph Lauren Factory Stores in Canada (the “Stores”) and through the other channels described below.
The Privacy Notice describes the types of personal information we collect in our Stores and in other ways discussed below, how we may use that information, and with whom we may share it. The Notice also describes the measures we take in an effort to protect the security of the personal information. We also tell you how you can reach us to ask us to (i) access, update, or change the personal information you have provided to us; (ii) withdraw any consent you previously provided to us; (iii) tell us to refrain from communicating with you about our products or services; and (iv) answer any questions you may have about our privacy practices and those of our service providers.
Information We Collect and How We Use It
When you buy products or obtain services in our Stores, we ask you for information we need to process your purchase or provide you with the services you requested. If you pay by debit or credit card, we collect your debit or credit card–related information and signature in order to process your transaction. We may also collect your email address in order to send you an electronic receipt.
We collect information about your purchase, such as the items you bought, the price of the items, the payment method you used, and if the product was on sale. We use this information to improve our product and service offerings and to tailor our communications to reflect your interests and preferences.
For merchandise returns, we collect customers’ signatures to acknowledge their receipt of the refund and for the administration of our loss prevention program. For merchandise returns where a customer receives a refund on a debit or credit card, we also collect and use debit- and credit-related information to process and administer the refund transaction. When a customer returns merchandise at one of our Stores without a receipt, we collect the customers’ first and last name and require customers to provide a valid government-issued photo identification. We use this information to process and track returns and to help administer our loss prevention program.
You may join our Customer Registry at our Stores. To join, we may ask for your name, postal address, email address, or home/mobile telephone number. We may also collect your birth date and gender. With your consent, we use this information to send you electronic receipts or to communicate with you by email, mail, or SMS text message about Store products and services, special offers, and event information tailored to reflect your interests and preferences. We also use the information for internal analysis and customer service purposes. When you join the Customer Registry, we also maintain a record of your purchase history to enable you to return or exchange merchandise without a receipt. If you sign up to receive SMS text messages, depending on the terms of your mobile phone contract, you may incur charges for receiving and sending text and data on your mobile device. Ralph Lauren is not responsible for these charges.
You can choose at any time not to receive marketing or other communications from us by following the instructions in the “Your Choices” section below.
Customer Satisfaction Surveys
When you buy products or obtain services in our Stores, we may ask you to complete a customer satisfaction survey. If you choose to do so, you may provide information such as your name, email address, telephone number, age, gender, and other demographic information, in addition to your comments. Providing any of this information is optional. We use the information you provide to improve our products and services, and enhance your shopping experience.
Contests, Sweepstakes, and Promotions
In our Stores, you may also be able to participate in contests, sweepstakes, and other promotions. If you choose to participate in these contests, sweepstakes, or other promotions, we may ask you for information such as your name, email address, postal address, or telephone number. We use the information you provide to administer your participation in the contest, sweepstakes, or other promotion. We also may use the information to communicate with you about our products, services, and promotions, but only if you have given us your consent to do so.
Other Ways We Collect Personal Information
We may use QR codes in connection with certain promotions, contests, and special events. If you scan our QR code, you will get an invitation on your mobile device to join our mailing list. To sign up, we may ask you for information such as your name, postal address, email address, telephone numbers, or age. We use the information to communicate with you about our products, services, and promotions.
You may call our Customer Assistance line for information about our products or personal shopping advice. If you do so, we may ask you for information such as your name, email address, postal address, and telephone number. We use this information to respond to and communicate with you about your request. We may retain this information to assist you in the future and to monitor and/or improve our product and service offerings.
In connection with a job application or related inquiry, you may provide us with certain personal information about yourself (such as that contained in a résumé, cover letter, or similar employment-related materials). We use this information for the purpose of processing and responding to your application for current and future career opportunities.
Other Ways We Obtain and Use Information
In addition to the ways we collect information about you described above, we also may obtain information about you from third parties or publicly available sources. We may use this information to help us maintain the accuracy of your personal information, tailor services and communications, enhance your shopping experience, understand and improve the nature of our product and service offerings, and/or to assist in the selection of Store locations.
We may use your personal information for internal purposes, such as fraud and theft prevention, accident reporting, development and administration of our Stores, data analytics, and compliance with our legal obligations, policies, and procedures.
Department and Specialty Stores
Our products are available for sale in many department stores and other specialty stores in Canada. Personal information collected in these stores is not provided to Ralph Lauren. This Privacy Notice does not address the information practices of the stores in which our products are sold. These stores may have their own privacy notices or policies, which we strongly suggest you review when you provide them with your personal information. We are not responsible for the personal information practices of such stores.
Information We Share
We do not sell or otherwise transfer or disclose personal information about our customers, except as described here.
We may share personal information with our affiliates, licensees, and joint venture partners worldwide for the purposes described in this Privacy Notice. We also may share the information with our affiliates and service providers who perform services on our behalf based on our instructions. For example, we may use service providers to authorize and process payments, send email, SMS text messages, or other communications; run our contests and promotions; conduct surveys; and manage and analyze data and our advertising effectiveness. These service providers are given the information they need to perform their designated functions and are not authorized by us to use or disclose the information except as necessary to perform services on our behalf or comply with legal requirements.
We, our affiliates, and our Canadian, US, and other service providers may provide your personal information in response to a search warrant or other legally valid inquiry or order, or to an investigative body in the case of a breach of an agreement or contravention of law, or as otherwise required or permitted by applicable Canadian, US, or other law. We may also disclose personal information where necessary for the establishment, exercise, or defense of legal claims and to investigate or prevent actual or suspect loss or harm to persons or property.
Sale of Business
We also reserve the right to transfer personal information we have about you in the event we sell or transfer all or a portion of our business or assets. Should such a sale or transfer occur, we will use reasonable efforts to direct the transferee to use personal information you have provided to us in a manner that is consistent with our Privacy Notice. Following such a sale or transfer, you may contact the entity to which we transferred your personal information with any inquiries concerning the processing of that information.
How We Protect Personal Information
Your personal information is maintained on a confidential basis on our servers in the United States. We maintain appropriate administrative, technical, and physical safeguards in an effort to protect personal information in our custody and control against accidental, unlawful, or unauthorized destruction, loss, theft, alteration, access, disclosure, or use, and other unlawful forms of processing, including limiting access to personal information to employees and authorized service providers on a need-to-know basis.
Transfer of Personal Information to Other Countries
We may transfer the personal information we collect about you to our affiliates and services providers in countries other than the country in which you originally provided it, including the United States. These countries may not have the same data protection laws as the country in which you provided the information. When we transfer your information to other countries, we will protect that information as described in this Privacy Notice.
Access and Correction
Subject to limited exceptions prescribed by applicable law, we will provide you with access to personal information in our custody or control and the ability to review, correct, or update the information where it is inaccurate. Please submit your request to the address specified in the “How to Contact Us” section below. Please include your name, email address, and postal address in your request for the purposes of verifying your identity.
We offer you certain choices about how we communicate with you and what information we collect from you. You may withdraw any consent you previously provided to us or object at any time on legitimate grounds and free of charge to the processing of your personal information, and we will apply your preferences going forward provided that the processing is not required to fulfill the services you’ve requested.
You can choose not to receive email marketing communications from us by clicking on the unsubscribe link in our marketing emails or by clicking here. You may, at any time, opt out of receiving SMS text messages by following the opt-out instructions provided in your SMS message or by contacting us as specified in the “How to Contact Us” section below. Ralph Lauren does not charge you to unsubscribe.
To unsubscribe from mail and other communications, please contact us as set out under “How to Contact Us” below or speak to a sales associate in one of our Stores. Please include your name, email address, and postal address if you send us your request by email or postal mail for verification purposes.
Updates to Our Privacy Notice
This Privacy Notice may be updated periodically to reflect changes in our personal information practices or relevant laws. We will post a prominent notice on the site to notify you of any significant changes to our Privacy Notice and indicate at the top of the notice when it was updated.
